Marketing and Promotion

·   Develop a marketing plan that utilizes innovative strategies and include various methods of communication.

·   Research and identify prospects that are most interested in interacting with your constituency.

·    Design and produce an “Exhibitor Prospectus” for potential exhibitors.

·   Continuously "prospect" for new exhibitors through extensive market research and on-going collaboration with contacts.

·   Create persuasive supporting materials to enhance the sales effort.

 

Exhibit Sales

·         Receive and process all reservations for booth space; assign, and confirm booth locations.

·         Review information regarding new exhibitors and giveaways.

·         Respond to all inquiries regarding booth space, policies, rules and regulations for exhibitors.

 

Exhibit/Trade Show Management

Before the Show

·     Send to exhibitors: confirmation of application/space assignments, invoices, housing forms, air freight and cargo information, prospectus, exhibitor giveaway approval forms, badge registration forms, reminders and updates (i.e., product description deadlines, exhibit hours, etc.), and post-show thank you letters.

·    Pre-register exhibitors and arrange for meeting access (including the design, copying and mailing of pre-registration forms). 

·    Coordinate onsite arrangements for exhibitors, service contractors and hall personnel.

·    Develop an exhibitor’s service kit to help exhibitors arrange for contracted services.

·    Negotiate and select qualified contractors to service and maintain the exhibit hall and exhibitor needs.

·    Prepare detailed budgets including projected exhibit sales and all appropriate documentation.

·    Arrange for equipment and staff to operate and manage an exhibitor registration desk during move-in, show days, and tear down.

 

Onsite

·   Represent Show Management

·   Interface with service providers to ensure a successful team effort.

·   Oversee loading dock areas

·   Liaison between exhibitor and service vendors

·   Enforce fire/safety regulations

·   Implement facility contractor agreements

·   Serve as a mediator for exhibitor disputes

·   Supervise the move-in, operation, maintenance, and tear down of exhibits, and coordinate all on-site details for the show.

 

Post Show

·   Review all show management billing with the official decorator.

·   Provide notification of Forced Shipments

·   Develop a complete post event report following the APEX guidelines for event reporting.
